Event Participant Privacy Notice

1. Scope of this notice

This notice applies when you register for, are invited to, attend, speak at or otherwise interact with a webinar, conference, roundtable, workshop or other event that 4dev.com organises, co-organises, participates in, speaks at or sponsors. It applies whether we receive your data directly from you or from an event organiser, co-organiser, sponsor, partner, referrer or another source.

This notice supplements our general Privacy Policy and Cookies Policy. If you later create a 4dev.com account or enter into a business relationship with us, those notices also apply to the additional processing involved.

The event organiser and 4dev.com normally act as separate controllers: each decides independently why and how it uses your data. The event page or registration materials should identify the organiser and any other controllers. If an event has a different arrangement, we will explain it in the event-specific information.

2. Personal data we may process

• Identity and contact data: name, business or personal email address, telephone number, messenger handle and public professional-profile link.
• Professional and company data: employer or other company affiliation, job title, role, seniority, business area, country, language and business interests.
• Registration and attendance data: the event, registration date, invitation or referral source, attendance, access details, session participation, networking choices and materials requested or downloaded.
• Interaction and content data: correspondence, organisational requests, meeting notes, questions, polls, survey responses, chat messages and, if the event is recorded, your name, image, voice and contributions.
• Technical and engagement data: IP address, cookie or similar identifier, approximate location derived from IP, browser, device and operating-system data, language settings, referral and campaign parameters, pages or event screens viewed, and email opens or link clicks.
• CRM and sales data: internal contact, lead, company and deal identifiers; whether you or your company already has a relationship with 4dev.com; lead source and stage; assigned owner; qualification and interest indicators; prior communications; meeting, demonstration, proposal and follow-up history.
• Derived or enriched data: verified or inferred professional role and company affiliation, company and website information, likely language or areas of interest, channel attribution and lead qualification or segmentation.

We do not ask you to provide special-category data (such as health, political, religious or biometric information) for these purposes. Please avoid disclosing it in registration fields, event chat, questions or surveys. If you disclose it unexpectedly, we will limit or delete it where reasonably possible unless the law requires otherwise.

3. Where the data comes from

• You, including through registration forms, event platforms, emails, chats, meetings, surveys and networking choices.
• The event organiser, co-organiser, sponsor, partner or referrer, including attendee lists, registration details and participation data supplied by the event platform.
• Our existing CRM, client and platform records, including information you or your company previously gave us and prior interactions with 4dev.com.
• Our employees and representatives, including professional introductions and business contacts recorded after an interaction.
• Public professional and business sources, such as LinkedIn, company websites and public registers, and commercial business-data or company-verification providers.
• Our websites, communications and systems, which generate technical, campaign, attendance and engagement data.

Where we receive your data from another source, we will provide this notice within the period required by law and, in any event, no later than our first communication with you where the applicable law requires this.

4. Why we use the data and our legal bases

The legal bases described below apply where the GDPR governs our processing. Depending on the applicable law, business contact information may fall outside the applicable data protection regulation. For other personal data, we process it only where the applicable law permits us to do so, as described below.

4.1 Administering and delivering events

Categories of individuals concerned: people invited to, registering for or attending an event; speakers, panellists, moderators and other contributors; and representatives of organisers, co-organisers, sponsors and other event partners.

Types of personal data: identity and contact details; professional and company information; registration and attendance details; access credentials; session selections; questions, survey responses and organisational requests; correspondence; and technical information needed to provide and secure access to the event.

Legal basis under the GDPR: our legitimate interests in organising useful, secure and properly administered events. Where an individual enters into an event-related contract with us personally, we may also process personal data where necessary to perform that contract or take steps requested by that individual before entering into it.

4.2 Facilitating networking and event interaction

Categories of individuals concerned: attendees, speakers, panellists, moderators and representatives of event organisers, sponsors and partners who participate in networking or request an introduction.

Types of personal data: name; job title; company affiliation; professional profile; business contact details; networking preferences; areas of professional interest; and information contained in introduction requests or related correspondence.

Legal basis under the GDPR: our legitimate interests in facilitating professional interaction that is reasonably expected in the context of the event and has been clearly explained to participants. We do not publish attendee contact details or disclose them to other participants merely because a person registered for an event. We facilitate an introduction or disclose contact details only where the participant requested the introduction, shared the details for that purpose or another lawful basis applies.

4.3 Recording events and using event content

Categories of individuals concerned: speakers, panellists, moderators, interviewees and attendees whose name, image, voice, questions or other contributions may be captured.

Types of personal data: name; professional details; image; voice; presentation materials; statements, questions and other contributions; and recordings, photographs, transcripts, summaries and extracts containing that information.

Legal basis under the GDPR: our legitimate interests in documenting events, making event materials available, reporting on events and using appropriate event content to explain or promote 4dev.com and its activities. We provide event-specific information before recording and take reasonable measures to allow attendees to avoid being recorded, for example by keeping their camera and microphone switched off. Where a speaker or other contributor enters into an agreement with us, processing necessary to perform that agreement may also be based on contract.

4.4 Maintaining our CRM, matching records and qualifying prospective business contacts

Categories of individuals concerned: event registrants and attendees; speakers and contributors; representatives of existing or prospective clients, partners and suppliers; and other professional contacts connected with an event.

Types of personal data: identity and contact details; professional role and company affiliation; event registration and attendance information; information about prior interactions with 4dev.com; internal CRM identifiers; lead source, stage and assigned owner; professional interests; company and website information; and verified or inferred qualification and segmentation information.

Legal basis under the GDPR: our legitimate interests in maintaining accurate business records, identifying duplicate or existing contacts, understanding our professional audience, avoiding irrelevant approaches and determining whether 4dev.com may be relevant to an individual or their organisation. Before relying on this basis, we consider the necessity of the processing, the person’s reasonable expectations and the potential effect on that person.

4.5 Business-development and sales follow-up

Categories of individuals concerned: event registrants or attendees who may have an interest in 4dev.com; representatives of existing or prospective clients and partners; and people who request information, a meeting, consultation or demonstration.

Types of personal data: identity, contact and professional details; company affiliation; event attended; questions asked and materials requested; relevant business interests or needs; previous communications; CRM qualification information; meeting and demonstration records; and proposals, estimates or other follow-up information.

Legal basis under the GDPR: our legitimate interests in following up on a 4dev.com-related event, answering relevant questions and developing potential business relationships. Follow-up based on this interest is limited to matters reasonably connected with the event, 4dev.com or the services discussed at the event. Where an individual personally requests steps with a view to entering into a contract with us, processing necessary to take those steps may also be based on contract.

4.6 Sending relevant event and service communications

Categories of individuals concerned: people who registered for or attended a 4dev.com-related event; people who requested information about 4dev.com; and relevant representatives of existing or prospective business clients and partners.

Types of personal data: name; email address or other communication details; company and professional role; language; event attended; subjects or services in which the person expressed an interest; communication history; preferences; and, where permitted, information about the delivery, opening or use of communications.

Legal basis under the GDPR: our legitimate interests in sending limited and relevant information connected with the event, including asking whether a participant would like further information, a demonstration or information about another relevant event. We assess whether the communication is reasonably expected, proportionate and unlikely to cause unwarranted intrusion. This GDPR legal basis does not override the electronic-marketing rules applicable in the recipient’s country. Where those rules require prior consent, we will not send the communication unless another applicable permission is available.

Every marketing communication will identify 4dev.com, explain why the recipient is receiving it and provide an easy and free means of unsubscribing. If a person unsubscribes or otherwise objects, we will not contact that person again for marketing purposes.

4.7 Measuring event, partner and marketing performance

Categories of individuals concerned: event registrants and attendees; invitees; website and event-platform visitors; representatives of prospective and existing clients; and representatives of organisers, sponsors, referral partners and other event partners.

Types of personal data: event, organiser, partner and referral source; registration and attendance details; campaign parameters; pages or event screens viewed; technical identifiers; communication delivery, opening and click information where permitted; CRM lead and opportunity status; and information showing whether an event or campaign resulted in a meeting, proposal or customer relationship.

Legal basis under the GDPR: our legitimate interests in assessing the effectiveness of events and partnerships, measuring conversion and marketing performance, preventing duplicate attribution, improving future activities and administering partner arrangements. We use aggregated or anonymised information where individual-level data is unnecessary.

The storage of or access to information on a person’s device, including through cookies or similar technologies, is governed separately by our Cookies Policy and applicable electronic-communications rules. We do not treat event registration as permission to use non-essential tracking technologies.

4.8 Managing preferences, objections, security and legal matters

Categories of individuals concerned: all individuals whose personal data is processed under this notice, including people who contact us or exercise a data-protection right.

Types of personal data: identity and contact details; communication and language preferences; unsubscribe requests and objections; suppression-list entries; records showing the source of data and privacy information provided; access and security logs; suspected misuse or security incidents; correspondence; and information relevant to a complaint, dispute, regulatory enquiry or legal claim.

Legal basis under the GDPR: our legitimate interests in respecting communication preferences, preventing prohibited contact, demonstrating compliance, protecting our events and systems, investigating misuse and establishing, exercising or defending legal claims. Where processing is objectively necessary to comply with a specific legal obligation, that legal obligation may also constitute the applicable basis.

5. Combining data, segmentation and automated decisions

We may combine event data with CRM, platform, website, public-source and commercial business data. We use the combined record to segment audiences, assign leads, prioritise follow-up and select relevant content.

We do not use event-participant data to make decisions based solely on automated processing that produce legal or similarly significant effects. Employees review and decide whether and how to pursue a business relationship.

6. Who receives the data

We may share your data with:

• The organiser, co-organiser, host, sponsor, speaker or other event partner identified in event materials, where the disclosure is necessary for the event or its own follow-up has been disclosed and is lawful. Such parties may be independent controllers.
• Service providers supporting registration, webinars and meetings; CRM and sales operations; business-data verification or enrichment; email and messaging; cloud hosting and workplace tools; analytics, advertising and campaign measurement; security; and technical support. Depending on the event and your choices, these may include providers such as Zoom, Pipedrive, Google Workspace, Mailgun, Postmark, Chatwoot or Intercom, LinkedIn, Google Analytics, AWS and Luma.
• Professional advisers, auditors, insurers, prospective transaction parties, courts, regulators, law-enforcement bodies and other recipients where reasonably necessary or legally required.

We require processors to use the data only on our instructions and to protect it. An independent controller is responsible for its own processing and privacy information.

7. International transfers

4dev.com and its providers operate internationally. Your data may be processed in the United States, Singapore, the European Economic Area and other countries that may not provide the same statutory protections as your country.

Where the GDPR applies, we use an adequacy decision or appropriate safeguards such as the European Commission's Standard Contractual Clauses, together with supplementary measures where required. You may contact us for information about the relevant safeguards.

8. How long we keep the data

• Temporary attendee-list working files: up to 90 days after import, reconciliation or the related operational need ends.
• Event administration and participation records: up to 12 months after the event, unless needed for an unresolved request, dispute or legal obligation.
• Prospective-customer CRM records, qualification data and business follow-up history: up to 24 months after the last meaningful interaction, unless you object earlier or a longer period is justified by an active relationship, a legal requirement or a claim.
• Event recordings and associated transcripts or summaries: normally up to 18 months. Content intentionally published or licensed for longer-term use may remain available while that use continues, subject to applicable rights and event-specific information.
• Cookie, website and campaign data: for the periods stated in our Cookies Policy and the relevant tool settings; aggregated or anonymised statistics may be retained longer.
• Suppression records: for as long as reasonably necessary to make sure we do not contact you contrary to your objection or withdrawal.

If you become a client, client representative, contractor or platform user, the retention rules in the applicable privacy notice and legal requirements will govern the additional data. At the end of the relevant period, we delete or anonymise the data unless continued retention is required or permitted by law.

9. Your rights and choices

Depending on the law that applies, you may ask us to provide access to your personal data, correct it, delete it, restrict its use or provide it in a portable format. You may withdraw consent at any time where processing is based on consent. Withdrawal does not affect earlier processing.

Under the GDPR, you may object to processing based on legitimate interests for reasons relating to your situation. Your right to object to direct marketing, including related profiling, is unconditional. You may also complain to the data-protection authority where you live, work or consider an infringement occurred.

To exercise a right or ask a question, email contact@4dev.com with the subject line 'Event privacy request'. We may need to verify your identity. We will respond within the period required by applicable law.

10. Required and optional data

Registration forms identify which fields are required. If you do not provide required contact and registration information, we may be unable to register you, provide access or send essential event communications. Networking, surveys and marketing choices should be optional unless we explain otherwise.

11. Security

We use organisational and technical measures designed to protect personal data, including access controls, authentication, encryption where appropriate, staff confidentiality and controls for service providers. No system is completely secure, and we review our measures according to the risks involved. If a security breach affects personal identifying information, we investigate the incident and notify affected individuals where required by applicable law.

12. Changes and contact details

We may update this notice when our event or follow-up practices change. The current version will show its last-updated date. Material changes will be highlighted or otherwise communicated where required.
